The details to check before you send your first professional invoice.
Get the basics right
Use the business’s legal name, contact details and payment instructions. Confirm the client’s billing name and address. Tax registration numbers may be required depending on the transaction.
Make the work recognizable
Use plain descriptions of the goods or services, quantities or time, agreed rates and any discount. Let your client connect the invoice to the quotation or purchase order they approved.
Give the payment a clear destination
Set an agreed due date, show the total and currency, and include the right bank details. Never assume your client already has them. Check instructions against your actual business account.
Check before issuing
Review the PDF, totals and applicable tax. Once issued, keep a stable record; use a credit note or the legally appropriate correction process instead of editing the issued amount.
